Federal tax ID

Get an EIN for your vending business.

Your EIN is the federal tax ID that lets your vending business open a bank account, hire, and get licensed. We prepare the IRS paperwork and file it for you, so it lands right the first time.

The EIN itself is free from the IRS. What you are paying us for is getting it filed right the first time, with no name conflicts, no formatting errors, and no lost weeks.

What it is

What an EIN means for a vending business.

An EIN, short for Employer Identification Number, is the nine-digit number the IRS issues to identify your business, written in the form XX-XXXXXXX. You may also see it called a Federal Tax ID Number or a FEIN. Think of it as a Social Security Number for the vending business, the number banks, suppliers, and licensing offices ask for when they need to know the business is real.

For most operators it is not optional. If your route runs as an LLC with more than one member, a corporation, or a partnership, federal law requires one. If you are also forming an LLC or setting up a C Corporation, the EIN belongs in the same step. And even a solo operator with no employees, who could technically get by with a Social Security Number, usually files one anyway, because it keeps that number off every 1099, invoice, and credit application the route generates. New to all of this? Start with our guide to starting a vending business.

The one thing to know

The EIN is free and it never expires, but getting it wrong is what costs you. A name that does not match Social Security records, a formatting slip, or a blank field bounces the application and sends you to the back of the line. That rejection risk is exactly the part we take off your plate.

Why operators get one

What an EIN unlocks for your vending business.

The practical reasons a working vending operator needs a federal tax ID, in plain terms.

Open a business bank account

Most banks want an EIN before they will open an account for your route. It is what keeps machine income and business spending in one place, separate from your personal money.

Keep your SSN private

With an EIN you put that number on 1099 forms, vendor invoices, and credit applications instead of your Social Security Number. It is a real reduction in your exposure to identity theft.

Hire people to run the route

The moment you bring anyone on to stock, service, or manage machines, you need an EIN to handle payroll and employment taxes. Get it in place before that first hire.

Required for your LLC or corporation

Multi-member LLCs, C Corporations, S Corporations, and partnerships all must have an EIN by federal law. If your vending business is one of these, this is not a nice to have.

Get licensed and approved

Seller's permits, health approvals, and vending licenses commonly ask for your EIN on the form. Having it ready keeps your permit applications moving instead of stalling.

One step in your business setup

If we are forming your entity too, your EIN moves through the same workflow as the formation filing, so everything you need to open a bank account is ready on day one.

Do you need one

Does your vending business need an EIN?

It comes down to how the business is structured and what you plan to do. Here is how it usually breaks down for an operator.

You need an EIN when

  • Your vending business is an LLC with more than one member
  • You run as a C Corporation, S Corporation, or partnership
  • You have, or plan to hire, anyone to service the route
  • You file employment or excise tax returns, or withhold certain taxes

You can use your SSN when

  • You are a sole proprietor running the route solo, no employees
  • You have a single-member LLC with no employees or excise tax
  • You have not elected to be taxed as a corporation
  • You are fine putting your SSN on business paperwork
How we do it

How we get your vending EIN.

You give us the details once. We prepare the IRS application, file it, and stay on it until the number is in your hands.

01

Answer a short questionnaire

Legal name, entity type, responsible party, and business activity. We walk you through each field so it matches your records exactly.

02

We prepare your Form SS-4

Your application is completed to IRS specifications, so a name conflict or a formatting error does not get it kicked back.

03

We file as your designee

We submit the application to the IRS as your authorized third-party designee, under the IRS rules, on your behalf.

04

We handle any IRS follow-up

If the application is flagged or rejected, our team deals with the callback and clarification instead of leaving it to you.

05

You receive your EIN

Usually within one to two business days, ready to use for your bank account and license applications right away.

06

We keep your confirmation on file

The IRS does not reissue your CP 575 letter. We hold a backup copy for you in case the original ever goes missing.

Once it is issued

What to know once your EIN is in hand.

A few details about your new number that are worth understanding up front, so nothing catches you off guard later.

  • Your EIN never expires, so you file for it once and keep it
  • You can open a bank account and apply for licenses with it right away
  • It takes about two weeks before it works for electronic tax filings
  • Keep your CP 575 confirmation letter safe, the IRS does not reissue it
  • We hold a backup copy of your confirmation so a lost letter is no crisis
  • Only one EIN is issued per responsible party per day across all methods
Common questions

EIN questions, answered.

Do I need an EIN to open a business bank account?

Usually, yes. Most banks require an EIN for LLCs, corporations, partnerships, and any vending business with employees. A sole proprietor or a single-member LLC can sometimes open an account with just a Social Security Number, but many banks still ask for an EIN even then, so it is the safer thing to have ready before you walk in.

Is the EIN really free? Then why pay VAdviced?

The number itself is free from the IRS. What you are paying us for is getting the application filed correctly and quickly. The IRS bounces applications for name mismatches, blank fields, and formatting errors, and a single mistake can send you to the back of the line. We prepare your Form SS-4 to spec, file it as your designee, handle any IRS follow-up, and keep your confirmation letter on file. Free is not the same as easy.

I run my route solo with no employees. Do I still need one?

Not strictly. A sole proprietor with no employees can often use a Social Security Number instead. That said, most operators file for an EIN anyway, because it keeps your SSN off 1099 forms, vendor invoices, and credit applications. It is a privacy and credibility upgrade even when it is not required.

How long does it take to get an EIN?

It depends on the method, and the IRS online path can issue a number immediately when the application is accepted. When we file for you, we usually have your EIN within one to two business days. Keep in mind that even an instantly issued number takes about two weeks to register fully, so during that window you can bank and get licensed with it but cannot yet use it for electronic tax filings.

Can I use one EIN for several vending brands?

If those brands all operate under the same legal entity, yes, one EIN covers them. A single company can run multiple lines or route brands under one number. You only need a separate EIN when the ownership or legal structure of the business actually changes, such as forming a new entity.

Do you handle my LLC or corporation and the permits too?

Yes. If you are forming your entity with us, the EIN moves through the same workflow so everything is ready on day one. We also secure the health approvals, seller's permits, and location filings your machines need, which a standalone EIN service does not touch.
